Enrolled Records Department
The enrolled records department follows up the academic status of students
from their admission in the university until their graduation. It guides
continuing and expecting to graduate students, follows up on their
academic progress, prepares the necessary requirements thereof, and
approves their graduation. It, also, follows up the academic records
for the enrolled and dismissed students. To achieve these
objectives, the department is represented by its two divisions;
enrolled records division and internal transfer and academic affairs
division:
First: Enrolled records division,
which carries out the following
duties:

Guiding continuing and expecting to graduate students.

Updating major and minor sheets, when amended.
-
Receiving requests to transfer between colleges after each
semester, and their execution within the university regulations.

Receiving requests to transfer between colleges for students
who have passed more than 45 units, preparing a study plan for each of
them to be presented to the Students Affairs Committee to make
the transfer decisions.

Resolving the problems of students expecting to graduate through
their addition in closed sections, etc.
-
Receiving the applications of the minor specialization and
their execution.
-
Cooperating with colleges when submitting new major/minor
sheets through reviewing the courses' numbers, new equivalents,
and their execution.

Reviewing major sheets in order to prepare the student
manual.

Receiving the lists of the students expecting to graduate
from the database according the passed units by the student, and
identifying the students that will actually graduate according
to their
major sheets.

After the grades are entered by the registration department,
the lists of students expecting to graduate are reviewed
and the eligible ones
are graduated.
-
Reviewing the status of all
students registered in more than 19 units or less than 9 units,
in order to ensure that they are
graduating students.
-
Preparing the yearly student's manual, which includes major
sheets, sub-majors and credit system description.

Entering the data of the students expecting to graduate and
the graduated students into the database.
-
Supervising the preparation of the list of courses remaining for graduation, and entering
the data into the database.
Second: Internal transfer and academic affairs division,
which
carries out the following duties:

Identifying students on third probation and notifying the
Students' Affairs
Committee in the Deanship of Students' Affairs.

Excluding students on probation that expect to graduate and
have satisfied the conditions and regulations of the
Students' Affairs Committee, and not executing the dismissal
decision against them.

Executing the dismissal decisions of the
Students' Affairs
Committee.
-
Preparing lists of students that have exceeded the duration
of their major sheets, and sending them to the Students'
Affairs Committee.

Dismissal of students with forth probation.
-
Answering students' questions and preparation of official
transcripts.
-
Executing enrollment suspension decisions as
made by the various colleges and the Students' Affairs Committee.
-
Keeping the academic records of the enrolled, dismissed, and
dropped students.
